UK PonyCon Charity Auction Procedures

Charity Auction Lot Limit

To ensure the charity auction runs smoothly and provides a good experience for bidders, sellers, and organisers, the auction will be limited to a maximum of 100 lots.

All items submitted for auction will be reviewed by the auction team. If the number of suitable entries exceeds the 100-lot limit, the organisers reserve the right to select which items will be included in the auction based on factors such as suitability, variety, expected bidder interest, value, and available auction time.

Bundling of Items

Where appropriate, individual items may be combined into a single auction lot. The auction team may bundle related items together to create more appealing lots, maximise fundraising potential, and ensure the auction remains within the 100-lot limit. Each person who donated the items will still be listed.

Items Not Selected for Auction

Items that cannot be included within the 100-lot auction limit may, at the discretion of the organisers and with the donor’s agreement where required, be:

  • Combined with other items to create a future auction lot; or

  • Reserved for a tombola or other fundraising activity at the following year’s UK PonyCon.

The organisers will make every effort to ensure donated items continue to support the charity fundraising aims of the event.

Final Auction Selection

The decision of the UK PonyCon auction team regarding lot selection, bundling, order of presentation, and placement within fundraising activities will be final.

By submitting an item for the charity auction, donors acknowledge that their item may not appear as an individual auction lot and may be included in another fundraising activity if required.

All charity auction items are submitted on the day and in person. We do not have a online sign up process or any kind of pre-registration in place.
